Privacy Policy

This policy explains what personal information Hovea collects, how we use and protect it, and — importantly — how the job details you enter are processed by AI services located outside Australia. We handle personal information in line with the Australian Privacy Principles (APPs) under the Privacy Act 1988 (Cth).
1. What we collect
We collect only what we need to help you draft, send, and manage quotes:
Information you give us
- Account details — your name and email address when you sign up.
- Business profile — your business name, ABN, logo, contact details, default rates, GST registration status, terms, and payment details. This is the “branding” printed on your quotes.
- Quote content — job descriptions you type or dictate; line items; pricing; and scope.
- Your customers’ details — the name, phone, email, and address you add for the customer a quote is for. You are responsible for handling your customers’ information appropriately.
Information we collect automatically
- Diagnostics — crash reports and basic device information, to keep the app stable (via our crash-reporting provider, Sentry).
2. How we use your information
- To draft quotes from your description and your own price book.
- To render and share branded quote PDFs that carry your business identity.
- To sync your quotes, customers, and price book across your devices.
- To provide support, fix bugs, and improve the app.
We do not sell your personal information, and we do not use your quotes, customers, or price book for advertising. The app itself contains no advertising or analytics tracking — only the crash reporting described above. (Our marketing website uses ad-measurement cookies — see section 10.)
3. How your job details are processed by AI (overseas)
To draft a quote, the words and photos you enter about a job are sent to a third-party AI provider that processes them on servers outside Australia (including in the United States). This is a cross-border disclosure under APP 8.
Before a job description is sent to the AI, we remove your customer’s name, phone number, email, and street address from the text. Because this redaction can’t catch everything, please don’t include other personal or sensitive details — about a customer, an occupant, or anyone else — in job notes or photos. Photo content is sent to the AI as you provide it and is not redacted.
We hold the AI provider to confidentiality and security obligations. By using the AI drafting feature you acknowledge that this processing happens overseas.
4. Automated assistance
Hovea uses AI to draft line items, scope, and pricing. These are suggestions only: you review and edit every quote, and you decide what to send. Nothing is sent to your customer until you tap send. The final quote — including its pricing and GST treatment — is yours, not the AI’s.
5. Who we share it with
We share personal information only with service providers who help us run Hovea, under appropriate safeguards:
- Our AI provider, for quote drafting (overseas — see section 3).
- Cloud hosting and authentication providers that store and sync your data.
- Our crash-reporting provider (Sentry).
We may also disclose information where required by law.
6. Storage and security
Your data is stored on our backend, on servers located in Australia — so it survives a lost or broken phone and stays in sync across your devices. A copy is cached on your device so you can view your quotes even when your connection drops. Data is encrypted in transit. We take reasonable steps to protect your information from misuse, loss, and unauthorised access, but no system is completely secure.
7. Retention
We keep your information for as long as your account is active and as needed to provide the service, then delete or de-identify it within a reasonable period, unless we’re required to keep it longer by law.
8. Your rights
You can ask to access or correct the personal information we hold about you at any time — email support@hovea.au and we’ll respond within a reasonable time. If you’re not satisfied with how we’ve handled a privacy matter, you can complain to the Office of the Australian Information Commissioner (OAIC) at oaic.gov.au.

9. Children
Hovea is a tool for businesses and is not directed at anyone under 18.
10. Our marketing website (cookies & ad measurement)
This privacy policy is mainly about the Hovea app. Our marketing website (hovea.au) is separate, and uses a small amount of cookie-based tracking so we can measure the results of our advertising, which is aimed at Australian tradies. When you visit the site, tags from Google Ads and (once configured) Microsoft Advertising load, and if you click through to the App Store or Google Play we record that as a conversion. This tells us which ads are working; it does not identify you to us by name.
If you're visiting from the European Economic Area, the UK, or Switzerland, these cookies aren't used at all — that's set automatically based on your location, not something you need to configure.
This applies to the website only. The app has no advertising or analytics tracking of any kind — nothing you enter in Hovea is used for advertising. You can also block cookies in your browser, or use its "do not track" / private browsing settings, if you'd rather not be tracked on the website regardless of where you're visiting from.
11. Changes to this policy
We may update this policy from time to time. We’ll change the “last updated” date above, and for significant changes we’ll let you know in the app.
